A Situation Piling Up

Ranked among the top 100 colleges and universities in the nation according to U.S. News & World Report, this public university prides itself on giving its students a major university experience in a private college atmosphere. With three campuses across the state supporting an undergraduate population of over 21,000 students, the university offers 170 degreed programs, state-of-the-art facilities, and cutting-edge research opportunities.

The Student Post Office was staffed with two full-time employees and two students who delivered incoming mail and USPS® packages to approximately 6,000 students living on campus, while major carriers such as FedEx® and UPS® delivered directly to university-owned residences. The Student Post Office was already challenged with managing the exponential growth of incoming USPS parcels when a new policy went into effect barring major carrier delivery to residence halls, adding another level of complexity and strain to their workload.

The Solution

This university recognized the inefficiencies in their current process and knew they needed to something about it. As a member of the National Association of University Mail Services (NACUMS), the university learned about the electronic parcel locker solution from colleagues. Armed with this information, they went straight into an RFP competitive bid for a six-locker solution, with the condition that the Parcel Locker Solution had to be integrated into their existing inbound tracking system.

After shortlisting into the final round based on quality, configuration options, and local support availability, the Higher Education parcel management team visited the university to do a site walk-through and answer questions from the Mailing Services team. The dashboard and analytical capabilities were demoed to illustrate how efficiencies in parcel management had been achieved at other universities and how it had improved their students’ experience. The Result

Six outdoor parcel lockers systems were placed near residence hall locations and university-owned apartment complexes to manage an expected 10,000 parcels monthly. The locker systems share data with the university’s inbound tracking software per mandated bid requirements and provide much-needed relief to the university mail services team. Since the initial installation, the university added a seventh locker system.
